Administrator and Marketing Coordinator

Gaia Passages is a Bay Area based 510(c)(3) nonprofit organization that centers youth expressing their full selves in multicultural nature-based programs, empowering all to connect deeply with Earth wisdom within an intergenerational community of support and creative play. We envision a world where humans embody love for our earth, each of us acting with justice and compassion, honoring our creative selves, one another, and all our wild relations.

Gaia Passages is seeking a new part-time Administrator and Marketing Coordinator to join our team. The role will start at 15 hours per week but could grow to half time or more within the year. This position is currently remote but will eventually return to the Oakland office. 

Our ideal candidate has great attention to detail, an eye for beautiful design and excellent people skills. We are seeking someone with 2+ years of experience in administration, marketing and design skills. 

Responsibilities: 

Registration:

  • Creating and managing registrations for fall and summer programs, including managing waiting lists and processing refunds
  • Generating participant reports as needed
  • Processing scholarship applications
  • Coordinating work-trade tasks

 Communications/Marketing:

  • Updating website (WordPress)
  • Generating monthly newsletters (Mailchimp)
  • Post regularly on social media and other online networks
  • Organize and occasionally lead outreach events and open houses for prospective families
  • Customer Support: answer emails and phone calls from potential participants and help them through the registration process
  • Design eye-catching advertisements and flyers on Canva or other design platforms

Administrative:

  • Help teammates and board members with additional projects as needed
  • Retrieve mail from the Oakland office once a week – during Covid (depends on your location)

 HR Support:

  • Customize contracts for program staff
  • Collect (mostly digital) paperwork from new employees
  • Other tasks as needed

Requirements:

  • Prior administrative experience
  • Prior marketing and design experience
  • Excellent computer and online app skills 
  • Professional writing skills
  • Attention to detail
  • Excellent time management skills
  • Experience working on a team
  • Good communicator 
  • Loves going above and beyond to help customers
  • Passionate about our mission
  • Great public speaking and presentation skills
  • Committed to equity and social justice

Additional Desired Qualifications:

  • Multilingual, high priority for Spanish
  • Flexibility with work hours, ability to work remotely, and ability and desire to increase in hours in future
  • Availability for a one hour team meeting every Monday over Zoom. 
  • Experience with Google Suite, WordPress, Mailchimp, and Canva a plus.
